Office Manager

Mind-Builders Creative Arts Center

Mind-Builders Creative Arts Center in the Northeast Bronx seeks a highly organized, skilled, and personable individual with a minimum of 2 years successful experience coordinating a busy office environment.

 

Excellent writing, speaking, telephone and computer/typing skills are required.
Bi-lingual Spanish/English proficiency is desired. Facility in dealing with a diverse public (parents, children, public officials, staff) in a community service-oriented agency; in addition to a passion for organizing, an ability to respond to multiple administrative support needs, and ability to develop efficient, user-friendly systems/procedures is essential.

 

On a full-time work schedule during September thru June of Tuesdays to Fridays 11am to 7 pm and Saturdays 10am to 6 pm, and Mondays - Fridays 10am to 6 pm in July and August, major responsibilities of the position include:

  • Support administrative/clerical needs of executive director and department heads
  • Assist with program registration, tuition payments & customer service issues
  • Oversee telephone/front-desk coverage and assist as needed
  • Supervise administrative support staff, parent/volunteers, and maintenance staff
  • Maintain personnel records/benefits/policies, process new-hires, tally timesheets, submit payroll & special monthly billings/payment requests
  • Monitor/maintain office/program supply needs, petty cash disbursements, and efficient operation of all equipment/systems
  • Promote timely inter-agency communication, compose correspondence, supervise mailings, assist with publicity, develop agency calendar and issue weekly updates, maintain up-to-date website info, develop operations procedures manual
  • Coordinate scheduling of support staff and room usage

 

QUALIFICATIONS:

  • Two or more years office management experience & solid work references;
  • A.A. or B.A. degree in business administration, related field, or equivalent experience;
  • 60 wpm accurate typing/data entry;
  • Knowledge of computer programs/office software
  • Ability to efficiently handle multiple projects & support needs, to work independently and as member of team, to demonstrate initiative and to effectively address customer relations, facility or general management issues.

 

BENEFITS: Salary $38,000 to $40,000 or commensurate with experience; health insurance; 3 weeks paid vacation in addition to sick/personal/holidays and an exciting, creative and collegial work environment.
